Parcels: Understanding the Parcels

This functionality helps manage, track, and update parcels, ensuring compliance. Users can view details, edit, archive, and export data.

1. Introduction

The Parcels functionality comprehensively displays all parcels and their respective details. This guide explains its features, available actions, and the status indicators for tracking parcel compliance.

2. Parcel Features

Upon accessing the 'Parcels' functionality, users can view key information about each parcel, such as:

  • Parcel ID – A unique identifier for each parcel.

  • HS Code – Refers to standardized numerical codes used globally to classify goods in international trade.

  • Origin – The country of shipment origin.

  • Destination– Refers to the destination country where the parcel will be shipped.

  • Shipping Date – Scheduled shipment date

  • Buyer’s Name – The name of the purchasing party

  • Status – Indicates parcel preparation stage and helps users identify necessary tasks for finalising the parcel.

The viewer, creator, and admin roles can view the parcels and their attributes in the parcel tabular and parcel detail views and apply various filters to find and view a specific parcel.

Parcel Status Indicators

Each parcel is assigned one of the following status labels:

  • Draft- this status indicates that not all required fields have been filled. It allows users to save their progress and return later when all the required information is available to complete the parcel creation. This feature is designed for situations where users may not have all the information yet but still want to create a parcel and save it as incomplete for later completion.

  • Complete – when all required fields of the attribute information are completed, but additional steps are still required before finalization.

  • Doc(s) Attached – when all required fields of the attribute information are completed and the necessary documents for this parcel (e.g., bill of lading) are attached.

  • Linked – the status will indicate that all required fields are completed and that at least one data set is attached to this parcel. It marks the first step towards transferring a parcel to the data vault, without altering the data. However, it does not imply any fundamental change to the parcel or data set.

  • Vaulted – the parcel has been transferred into the data vault. The vault provides a centralized, secure repository for essential data sets, preventing accidental or intentional edits.

3. Parcel Details & Actions

Viewing Parcel Details

Users can click 'See Details' on a parcel to view a summary of all connected information.

  • Logistics Information – Inserted by the creator, admin, or user

  • Parcel Details – HS code, net weight, and harvest date

  • Attached Documents – Bill of lading, due diligence statement, and parcel ID

  • Linked Datasets – All connected records associated with the parcel

Additional Options

Users can perform several key actions through the three-dot menu.

  • Archive Parcel –A creator or an admin can archive a parcel if they determine it is no longer relevant.

A creator, and admin can unarchive a parcel if they need to edit the parcel or feel that the parcel was archived by mistake.

The user can unarchive a parcel by filtering the archived parcels and selecting ‘Unarchive’ from the parcel tabular view.

  • Add to Vault – Moves a finalized and verified parcel to the vault for compliance auditing.

  • Link Datasets – Users can view and link datasets for this parcel, as well as remove or add data subsets as needed. After modifications, the system prompts for a new DDS generation.

  • Save Parcel – Updates parcel details automatically upon saving.

  • Download Documents – Enables users to download attached documents, including the due diligence statement.

  • Export Parcel – Generates a GeoJSON file, which is an EUDR compliance requirement, along with the due diligence statement.

The same key actions can also viewed from the general Parcels view when clicking on the three-dot menu.

4. Tracking Parcel Activity

A creator, and admin can view the Parcel Activity, where they can display the actions performed on different parcels by different users.

Users can view the activity by timestamp, user, user role, commodity, and origin. In addition, users can review all actions performed on a parcel, such as:

  • HS code additions

  • Purchase order creation

  • Dataset deletions

This log ensures accountability and allows users to troubleshoot any discrepancies.

Users can also apply filters to view specific parcel activities, making it easier to sort specific parcels that may require corrections.

Selecting ‘Audit Trail’ on the parcels tab can also redirect the user to the Audit Trail page.

5. Editing a Parcel

The Edit button allows users to revisit the parcel preparation step. Users can:

  • Modify inserted data

  • Link additional datasets

  • Attach documents Once the correct information is updated and saved, changes will be applied to the same Parcel ID.

If a user edits a parcel by modifying, adding, or removing linked datasets, they receive a warning indicating detected changes. To ensure accuracy and compliance, a new DDS generation is recommended.

Failing to update it could result in submitting incorrect data to the European Commission or non-compliance with the EUDR, potentially leading to fines.

Please note, that this is a warning message only, and users are not required to regenerate the DDS.

6. Full page export

Viewers, creators, and admins can export all parcels from the parcel tabular view in Excel or CSV format. If any filters are applied, only the filtered parcels will be exported.

The Parcels feature provides essential functionalities to track, update, and manage parcels efficiently. Users can ensure compliance, maintain accurate records, and streamline audits using the available features.
