Let's have a look at how to use the Resolutions Template. You can either watch the short video walkthrough below, or if you prefer to read you can find the step-by-step written guide below.

Step 1: Downloading the Data

  • Log in to the portal and navigate to the data section.

  • Download the data in Excel format.

  • Open the downloaded file to verify its contents.

Step 2: Copying Data into the Template

  • Locate the Scores tab in the template.

  • Copy and paste the data from the downloaded file into the Scores tab.

Step 3: Understanding the Template Structure

  • Scores Tab: This is where all scoring data is stored.

  • Instructions Tab: Provides a detailed guideline on:

    • How to use the template

    • Definitions of quality and compliance scores

    • Risk categorization: Low, Medium-High, and Critical

  • Datasets Tab:

    • Add information about suppliers, including name, origin country, commodity, and dataset.

    • Ensure the correct Scores tab is inserted, as formulas depend on this data.

Step 4: Reviewing Farm Records

  • In the dataset tab you can check the number of farm records available (e.g., 1,108 farm records in this example).

  • Provide additional details on missing supplier information, if necessary. Where the text is highlighted in yellow.

Step 5: Understanding Profile Scores

  • The profile score combines compliance and quality scores.

  • The breakdown of this score can be viewed in the dataset tab.

Step 6: Identifying Tests to Highlight

  • Go to the Tests tab.

  • View the number of farm records for each test.

  • Example: 6 farm plots scoring critical for DEF01, farm plot overlaps with deforested area (public map).

  • Use this data to highlight tests needing resolution and action.

Step 7: Tracking Actions with Status and Remarks

  • Use the Status and Remarks columns to:

    • Track actions taken to resolve issues.

    • Follow up with suppliers.

Step 8: Exploring the Test-Specific Tab (Example: GEC01)

  • This tab centralises all information related to a specific test.

  • Includes:

    • Background & Thresholds used

    • Test result interpretations

    • Visual examples of risk levels (Critical, High, Medium, Low)

    • Preventive and Corrective Actions to guide next steps

Reviewing Critical Farm Records

  • The dynamic section displays farm records scoring Critical or High.

  • Example:

    • 13 farm plots scoring critical

    • 12 plots high risk

    • 1,222 plots low risk

  • The table ranks farm records based on risk severity.

  • If no medium-risk records exist, only Critical and High-risk records are shown.

Understanding the Overlap Indicator

  • The GEC01 Result shows overlap percentages.

  • This helps in identifying farm records that overlap and require attention.

Step 9: Customizing the Template

  • Editing & Adjusting:

    • Move, add, or edit sections as needed for your supplier.

  • Maps Integration:

    • Screenshot map views from the portal and insert them into the template.

  • The template provides flexibility for customisation.

  • Use it to track, analyse, and resolve compliance issues effectively.
